Sharing Groups

A sharing group is a collection of scripts, templates, and macros. If users accept the invitation to a sharing group, they will have access to all the objects in that sharing group.

 

Create a sharing group

Go to Settings -> Sharing.  Click New or Click to Create.

Provide some basic information about the new sharing group.  The information that's provided in the "Support Info" field will be visible under a "Support" tab for each shared component.   We recommend providing relevant support information for any shared component (i.e. phone numbers, web links, emails, etc.).  It's important that your users know where they can go to receive additional support.

The "Welcome message" field will become visible to a user (inside the dialog box) after an invitation is accepted.

Click Create

You should now see the Beta Group.

Add objects to a sharing group

To add an templates, scripts, and macros to a sharing group, select the appropriate sharing group under the Info tab of an object.  You can only share a revision of an object.  You cannot share a HEAD version.  Commit the HEAD version of the script in order to create a sharable revision of the script.  By default, RightScripts, ServerTemplates, and macros that are shared will appear under the Partners tab for members of the sharing group.  Before you can publish and share a ServerTemplate, you must first lock it to prevent accidental changes or deletions.

NOTE: If you share a component, it will continue to appear under your Private tab, not the Partners tab.

If you click on the Members tab of a sharing group, you can see a list of all the shared components.  If you no longer want to share a component, simply click the make private link.

Invite users to a sharing group

To grant access to your sharing group, you must invite users by sending email invitations.

Go to Settings -> Sharing and click the Invitations tab.  Click the New link.

Add user email addresses, select the appropriate sharing group(s), and click the Send Invitations link.

Users must accept the invitation to a sharing group before they can access any of its components. 

NOTE: Shared components will appear under the user's "Partners" tab for ServerTemplates, RightScripts, and macros.

You may cancel a pending invitation at anytime by clicking the cancel invitation link.  However, if they already accepted the invitation, you must change their sharing group access under the Accounts tab.

By default, a user must accept a group invitation within 6 days.  Users must use the membership code in order to confirm their membership.  See How do I accept a sharing group invitation?
